Effective Date: 12 September 2026
Last Updated: 12 September 2026
These Supplier Participation Terms apply to pharmacies, distributors, wholesalers, manufacturers, importers, individual licensed suppliers, and authorized representatives participating in the MedOasis network.
By joining or participating as a supplier, you agree to these Terms in addition to the MedOasis Terms of Use.
1. Supplier Eligibility
A supplier must provide accurate information necessary for MedOasis to assess its eligibility.
Depending on the supplier category, MedOasis may request:
- registered business information;
- pharmacy or premises information;
- professional registration information;
- relevant licenses or permits;
- NAFDAC-related information where applicable;
- identity documents;
- bank/payment information;
- authorization documents; and
- other information reasonably required for verification.
MedOasis may request updated information where existing information expires, changes, or requires confirmation.
2. Pharmacy Representatives
A pharmacist may participate on behalf of a pharmacy where the pharmacist has been properly authorized by that pharmacy.
The pharmacy remains the supplier.
The representative does not become the owner of the pharmacy's inventory merely by participating in the MedOasis network.
A pharmacy authorizing a representative is responsible for ensuring that the representative has appropriate authority to:
- communicate with MedOasis;
- respond to medicine requests;
- provide availability information;
- discuss transaction terms;
- coordinate fulfillment; and
- perform other activities expressly authorized by the pharmacy.
MedOasis may request written confirmation of this authorization.
3. Supplier Responsibilities
Suppliers are responsible for ensuring that information supplied to MedOasis is accurate.
A supplier must:
- provide truthful information about medicines;
- maintain all licenses and authorizations applicable to its activities;
- supply medicines only where legally permitted;
- ensure that medicines supplied are appropriately sourced;
- comply with applicable storage and handling requirements;
- accurately state availability and relevant product information;
- disclose material expiry information where requested;
- fulfill accepted orders as agreed;
- provide appropriate documentation where required;
- cooperate with transaction investigations and disputes; and
- notify MedOasis of material changes affecting its eligibility.
4. Product Information
Where a supplier provides information about a medicine, the supplier is responsible for the accuracy of that information.
Depending on the transaction, MedOasis may request:
- medicine name;
- strength;
- dosage form;
- pack size;
- quantity available;
- expiry date;
- batch information;
- location;
- price;
- storage requirements;
- prescription requirements; and
- relevant product or regulatory information.
MedOasis may restrict or remove listings that appear inaccurate, incomplete, misleading, unsafe, or otherwise unsuitable for the network.
5. Prohibited Products and Conduct
Suppliers must not use MedOasis to offer products or services that are unlawful or outside the permitted scope of the network.
A supplier must not:
- offer counterfeit medicines;
- knowingly offer expired medicines as valid stock;
- misrepresent a medicine's identity, strength, quantity, or expiry;
- provide false licensing or credential information;
- submit fraudulent documentation;
- manipulate transaction records;
- circumvent MedOasis transaction controls;
- use another supplier's identity;
- engage in unlawful diversion or distribution; or
- attempt to move a MedOasis transaction outside the agreed transaction process in order to avoid applicable controls or fees.
MedOasis may suspend a supplier while an allegation is investigated.
6. Verification Policy
MedOasis operates an internal supplier-verification process.
Verification may involve reviewing identity, business information, professional credentials, premises information, licenses, authorization documents, and other relevant information.
Verification status is based on information available to MedOasis at the time of assessment.
Verification is not a certification, regulatory approval, inspection, guarantee, or endorsement by MedOasis.
In particular, a “Verified Supplier” designation does not by itself guarantee:
- authenticity of every product;
- quality of every product;
- continuous regulatory compliance;
- storage conditions throughout the supply chain;
- availability of stock;
- fulfillment of every order; or
- absence of fraud or future misconduct.
MedOasis may conduct additional checks or request updated information at any time.
7. Suspension and Removal
MedOasis may suspend, restrict, or remove a supplier where:
- required information cannot be verified;
- credentials have expired or appear invalid;
- inaccurate information is identified;
- a safety or compliance concern arises;
- a transaction dispute requires investigation;
- prohibited activity is suspected;
- the supplier fails to fulfill accepted transactions; or
- continued participation may reasonably expose users or the network to material risk.
Where appropriate, MedOasis may request corrective action before reinstatement.
8. Transaction Process
Where the MedOasis transaction process is enabled, the general flow may involve:
- a buyer submits a medicine request;
- eligible suppliers respond with availability and transaction information;
- the buyer selects an offer;
- payment is made through the designated payment process;
- fulfillment and delivery take place;
- delivery is confirmed;
- funds are released in accordance with the applicable payment or escrow arrangement.
The exact process may vary by transaction and payment provider.
9. Payment Protection
Where MedOasis offers escrow-style transaction protection, the applicable payment or escrow provider will hold or control funds according to its regulated operating structure and applicable terms.
MedOasis will not describe funds as “held in escrow” unless the relevant transaction flow actually uses an applicable escrow or equivalent regulated arrangement.
A supplier must not request that a buyer bypass the designated payment process where doing so would defeat the transaction protections.
10. Supplier Fees
Participation or transaction fees may apply to suppliers.
The applicable commercial arrangement will be communicated to the supplier before the relevant service or transaction where required.
Where a supplier participates through an authorized representative, any representative incentive or allocation will be governed by the applicable supplier or representative agreement.
MedOasis may update its commercial terms by providing appropriate notice.
11. Delivery
The supplier is responsible for preparing the medicine for fulfillment in accordance with applicable requirements.
Where the supplier controls delivery, it remains responsible for providing accurate delivery information and ensuring appropriate handling.
Where an independent courier is used, the supplier and/or MedOasis may provide instructions relevant to the medicine and transaction.
Temperature-sensitive medicines must be handled in accordance with applicable storage and transportation requirements.
12. Proof of Delivery
Depending on the transaction, MedOasis may require:
- delivery confirmation;
- recipient confirmation;
- signed proof of delivery;
- courier records;
- photographs;
- timestamps;
- tracking information; or
- other evidence reasonably necessary to establish fulfillment.
13. Disputes
A buyer or supplier may raise a transaction dispute where there is a material issue involving:
- non-delivery;
- wrong medicine;
- incorrect quantity;
- damaged packaging;
- expired medicine;
- material discrepancy from the agreed transaction;
- delivery issue; or
- another material fulfillment concern.
MedOasis may investigate the dispute and request evidence from the parties.
Where funds are subject to a third-party payment or escrow arrangement, the applicable provider's procedures will also apply.
14. Product Returns
Where a medicine is returned, the return must be handled in accordance with applicable law, medicine-safety requirements, and the circumstances of the transaction.
A returned medicine must not automatically be placed back into saleable stock where its integrity, storage conditions, packaging, or chain of custody cannot be established.
15. Confidentiality
Suppliers must keep confidential information obtained through MedOasis confidential and must not use another participant's information for purposes unrelated to the relevant transaction or authorized network activity.
This includes confidential commercial information, buyer information, supplier information, pricing arrangements, transaction records, and other non-public information.
16. Records and Cooperation
Suppliers must retain records reasonably necessary to demonstrate the legitimacy and fulfillment of transactions and cooperate with MedOasis where records are required for dispute resolution, compliance, safety, fraud prevention, or regulatory purposes.
17. No Transfer of Supplier Responsibility
Participation in the MedOasis network does not transfer the supplier's legal or professional responsibilities to MedOasis.
The supplier remains responsible for its medicines, licensing, premises, personnel, sourcing, storage, handling, dispensing or distribution activities, and compliance obligations applicable to its business.
18. Changes to Supplier Terms
MedOasis may update these Supplier Participation Terms as its network, technology, transaction arrangements, or legal requirements evolve.
Material changes will be communicated through appropriate channels.
1. Purpose
This Policy explains how MedOasis approaches supplier verification and transaction protection.
Our objective is to reduce avoidable trust and coordination risks when buyers and suppliers interact through the network.
2. Verification
MedOasis may verify participating suppliers using information including:
- identity;
- business registration;
- professional credentials;
- pharmacy or premises information;
- relevant licenses;
- authorization documents; and
- other information relevant to the supplier category.
The scope of verification may differ depending on the type of participant.
3. What “Verified” Means
A verified status means that MedOasis has completed its applicable internal verification checks based on information available at the time.
It does not mean that MedOasis has independently inspected every product or guarantees future compliance.
Users should still review transaction details and raise concerns promptly.
4. Transaction Protection
Where transaction protection is available, MedOasis may use an approved payment or escrow infrastructure to coordinate payment and release.
The applicable transaction page will identify the relevant payment process and release conditions.
Funds should only be released according to the applicable transaction rules.
5. Delivery Confirmation
Where required by the transaction flow, the buyer may be asked to confirm receipt before payment is released.
Failure to respond does not automatically establish acceptance in every circumstance. The applicable transaction terms may provide alternative procedures where a buyer is unavailable or a dispute has been raised.
6. Disputes
Where a dispute occurs, MedOasis may temporarily prevent release of funds where the applicable payment structure permits this.
MedOasis may request evidence from either party.
Evidence may include:
- order information;
- product information;
- photographs;
- prescription information where relevant;
- delivery records;
- proof of delivery;
- communications;
- payment records; and
- other relevant documentation.
7. Fraud and Safety Concerns
MedOasis may suspend transactions, accounts, listings, or supplier access where there is a reasonable concern involving fraud, counterfeit medicines, unsafe products, false credentials, identity misrepresentation, or other material risk.
Where required, information may be shared with relevant authorities or service providers in accordance with applicable law and our Privacy Policy.
8. Policy Limitations
MedOasis is a technology and transaction-facilitation platform.
Our verification and transaction controls are designed to reduce risk, not eliminate it.
Users should exercise appropriate judgment and report suspected fraud, counterfeit products, unsafe medicines, or other serious concerns promptly.
